Terms & Conditions
Please read these terms before using ClientCam. ClientCam is designed to record, organise and verify photographic evidence. It is not a guarantee that the subject matter of a photograph or the underlying work is true, compliant or defect-free.
1. About ClientCam
ClientCam is a web app/PWA for builders, tradespeople and businesses to capture and organise photographic job evidence, record metadata such as location and time, verify stored image integrity, create reports and share evidence with clients.
These Terms apply to your use of the ClientCam website, app/PWA, accounts, evidence-verification pages, reports, share links and related services. By creating an account or using ClientCam, you agree to these Terms.
2. Who may use ClientCam
You must be at least 18 years old or otherwise legally able to enter into these Terms. If you use ClientCam for a company or other organisation, you confirm that you are authorised to act for that organisation.
ClientCam is primarily intended for business and trade use. Nothing in these Terms limits rights that cannot lawfully be excluded, including any mandatory consumer rights that apply to you.
3. Accounts and security
- You must provide accurate account information and keep it reasonably up to date.
- You are responsible for protecting your login credentials and devices.
- Passwords are managed by Supabase Auth and are not visible to ClientCam administrators or company owners.
- You must notify us promptly if you suspect unauthorised account access.
- We may restrict or disable access where reasonably necessary for security, abuse prevention, legal compliance or protection of other users.
4. Company teams and permissions
A company owner controls company details, team membership and member permissions. Team members must only use access granted to them for legitimate company work. Owners are responsible for selecting appropriate permissions and for removing or disabling access when it is no longer required.
5. Your jobs, clients and evidence
You remain responsible for the information, photographs and files that you or your team put into ClientCam. You must have a lawful basis and any necessary permissions to photograph people, property, documents or sites; record client/worker information; obtain signatures; and share evidence with third parties.
You must not use ClientCam to upload unlawful, infringing, abusive, deceptive or malicious content, or to violate another person's privacy, confidentiality or intellectual-property rights.
6. What ClientCam verification means
For verified evidence, ClientCam can check whether the image bytes currently stored match the recorded SHA-256 hash and whether the signed verification record matches the metadata received by the server. Server receipt time is recorded independently by ClientCam. Live-captured and imported evidence are labelled differently.
Verification is evidence of record integrity, not a guarantee of the real-world event. ClientCam does not independently guarantee:
- that a photographed scene was not staged or misrepresented;
- that a user has correctly described the work or evidence;
- that GPS, device sensors, addresses or clocks are perfectly accurate;
- that the person operating an authenticated account is the person physically holding the device;
- that photographed work complies with building regulations, contracts, professional standards or law.
7. Imported and annotated images
Imported images are clearly marked as imported and not live captured. Users must not describe imported evidence as a live ClientCam capture.
Annotations are intended to be non-destructive derived copies. The original verified evidence remains separate. An annotated copy is not itself evidence that the underlying annotation is factually correct.
8. Customer share links and reports
Anyone who receives an active customer share link may be able to view the information exposed by that link. You are responsible for choosing recipients and an appropriate expiry period. Authorised users can revoke or regenerate links using the controls provided.
PDFs, ZIPs, CSVs and other exports are generated from the information available to ClientCam at the time. You should check reports before sending or relying on them, especially client details, private information, evidence status and completion information.
9. Offline use and uploads
ClientCam may queue evidence locally when a network connection is unavailable. You are responsible for checking pending/failed upload status and allowing the app to reconnect and complete synchronisation. Do not assume evidence has reached the verification server until ClientCam shows it as uploaded/verified.
10. Availability and third-party services
ClientCam depends on third-party services including hosting, authentication, storage, email and mapping/reverse-geocoding providers. We aim to keep the service available but cannot promise uninterrupted or error-free operation. Features may be unavailable because of networks, devices, browsers or third-party outages.
11. Trials, pricing and changes
ClientCam may be offered free of charge during testing, pilot or trial periods. Trial availability, limits and features may change as the service develops. If paid plans are introduced, pricing and any additional paid terms will be made clear before charges apply.
We may add, change or remove features where reasonably necessary to improve, secure or operate the service. We will try to avoid changes that unnecessarily prevent access to existing evidence.
12. Intellectual property
You keep ownership of content you upload, subject to any rights belonging to clients, workers or other third parties. You give ClientCam the limited rights needed to host, process, verify, display, transform for reports/annotations, back up and transmit that content solely to provide and secure the service.
ClientCam's software, branding, designs and service materials remain owned by ClientCam or its licensors and may not be copied, reverse-engineered or redistributed except where law expressly allows it.
13. Deletion, suspension and termination
Users with appropriate permission may archive, cancel, revoke or permanently delete data using available controls. Permanent deletion can remove evidence files and may be irreversible. You should export anything you are legally required to retain before deleting it.
We may suspend or terminate accounts where reasonably necessary because of serious misuse, security risk, non-payment if paid services are introduced, legal requirements or material breach of these Terms.
14. Responsibility and liability
You are responsible for deciding whether ClientCam evidence is suitable for your contractual, insurance, regulatory, legal or professional purpose. Where evidence may be important to a dispute, claim, inspection or court process, obtain appropriate professional advice about preservation and admissibility.
To the extent permitted by law, ClientCam is not responsible for indirect or consequential losses, lost profits, lost business, losses caused by inaccurate information supplied by users, or failures outside ClientCam's reasonable control. Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for fraud or fraudulent misrepresentation or other liability that cannot legally be excluded.
15. Privacy
Our Privacy Policy explains how ClientCam processes personal information. You and your company are responsible for providing any privacy information required to clients, workers or other people whose information you enter into ClientCam.
16. Changes to these Terms
We may update these Terms as the service develops. The current version will be published here with its update date. For material changes, we will provide reasonable notice where appropriate.
17. Governing law
These Terms are governed by the laws of England and Wales. The courts of England and Wales will have jurisdiction, except where mandatory law gives an individual consumer the right to bring a claim elsewhere.
